Lease abstraction requires careful reading across signed agreements, schedules and amendments. AI lease document processing can help prepare structured records for review, but the difficult part is deciding which terms are supported by the complete document set.
A start date on one page may be subject to a condition elsewhere. A later amendment may change the payment schedule. Treat extraction as a controlled document workflow with evidence and approval, rather than a request to summarize a folder.
Define the extraction schema
Start with a narrow set of fields your team actually uses: property identifier, parties, commencement date, expiry date, rent schedule and notice provisions. Define the expected format and what to do when a value is missing, ambiguous or dependent on another event.
A blank field must be distinguishable from a confirmed absence. Store the original wording alongside normalized dates or amounts, and retain currency, frequency and relevant conditions. This makes it possible to review a transformation without reopening the entire extraction process.
Preserve the document chain
Keep a versioned inventory of the original agreement, amendments, exhibits and supporting documents. Record document dates and relationships, while requiring a reviewer to resolve which terms apply. A filename alone is not reliable evidence that one document supersedes another.
- Register the document set and check for missing or unreadable pages.
- Extract text, retaining page references and layout where useful.
- Generate proposed fields with supporting passages.
- Validate formats, cross-field consistency and unresolved conflicts.
- Present exceptions and proposed values for authorized human approval.
Give reviewers evidence, not just answers
For every important field, show the source document, page and exact supporting passage. Highlight conflicts between the agreement and amendments. The reviewer should be able to mark a value as accepted, corrected or unresolved and record the reason.
Do not treat a model’s confidence wording as a calibrated probability. Evaluate extraction accuracy on representative documents, including scans, tables, handwritten changes and incomplete sets. A result that looks plausible can still be attached to the wrong property or lease version.
Protect the write into operational systems
Keep proposed data separate from approved records. Updating a property management or finance system should require a clear approval boundary, an audit entry and safe retry behavior. Store the source and extraction version with the approved record so later corrections are explainable.
Access controls should cover the documents, extracted text, search index and logs. Decide how long temporary processing files are retained and how deletion propagates to derived copies.
Evaluate the fields that carry operational risk
Measure field-level accuracy, reviewer correction rates and total review time. Pay particular attention to amounts, dates, notice windows and conditions that can affect an action. A high average score can hide a recurring error in a critical field.
The workflow should support document review; it should not present generated interpretations as legal advice. Have qualified reviewers determine the meaning of disputed terms and approve consequential actions.
